Billing and Payments
The NC State Veterinary Hospital is dedicated to helping our clients care for their animals. We realize that payment for treatment and affordability are often concerns. Please thoroughly review the financial requirements summarized below. Please let us know if you have any financial limitations before services are rendered.
Estimates & Deposits
Our hospital operates on a payment-at-time-of-service basis for all outpatient care visits including pharmacy and lab services. For hospitalized cases, clients are to leave a minimum deposit prior to admission that is equal to 100% of the estimate range’s low end. For example, if your estimate is $2,000-$4,000, you would be asked to leave a $2,000 deposit.
You will receive the preliminary estimate in advance of medical procedures. If your animal is transferred to another service within the Hospital you should receive an additional estimate for care under this new receiving service.
The required deposit may be higher based on the current estimate, your credit history, urgency of care and other extenuating circumstances. Payment for the balance of charges is due upon your pet’s release from the hospital.
Please keep in mind that estimates and deposits can change if complications occur. Please ask your clinical care team how changes in your animal’s condition will affect the cost of treatment.
Billing Review
We do our best to provide a complete invoice at the time of discharge, but due to the nature and timing of certain procedures, all charges may not be posted at the time of release. In such instances, you will be billed for the remaining incurred charges after your pet’s release.
An itemized bill with the remaining charges will be sent after a review period of 10 to 30 days. The review uses the pet’s medical record to ensure all charges from the visit are billed accordingly. Payment is expected in full within 30 days of receiving the bill.
The Veterinary Hospital reserves the right to refuse to provide care if an existing client’s account is not current or a client is unable to pay for the services.
Missed Appointments
Effective as of February 15, 2023, the Radiation Oncology service requires a 24 – 48 hours notice of cancellation of all appointments, in order to not incur a missed appointment fee. You may notify us by email: ncstateoncology@ncsu.edu or a phone call to the Front Desk at 919-513-6690

Payment Methods
We accept cash, checks (with valid ID), Discover, MasterCard, VISA and American Express. We also accept Care Credit. If you have not been pre-approved for Care Credit, please apply here before your visit and bring your Care Credit card with you to your pet’s appointment.

We strongly prefer that clients using a credit or debit card pay their bill online (click here). Clients may also mail a check to the following address:

Alternatively, you can call the department that saw your pet and the receptionist will take your payment by phone. For security purposes, we do not store card information.
Please be advised that we cannot accept Care Credit payments by phone. If you would like to make a payment with Care Credit, please click here and enter our hospital as the provider you wish to pay.
For more information regarding your bill, please email the specialty service that your pet visited. Please be sure to provide your first and last name, your pet’s name(s) and your phone number. Please note the Business Office cannot provide treatment estimates (we recommend that you call for an appointment for this).
